Privacy Policy

1. Scope

This privacy policy applies to:

  • The stopsuite.com website (the "Site")
  • The stopSuite Driver mobile application for Android and iOS (the "Driver App")
  • The stopSuite web-based management platform and customer portal (collectively, the "Platform")

All of the above are operated by RocWebDev, LLC ("we," "us," or "our"). stopSuite is a business-to-business (B2B) software platform used by route-based service companies (waste collection, delivery, lawn and landscape, home services, and similar industries). Throughout this policy we refer to those businesses as our "Clients." The drivers, dispatchers, office staff, and customers who use stopSuite on behalf of a Client are referred to as "End Users."

2. Data Ownership

Operational data entered into or generated by the Platform, including customer records, stop locations, route data, driver location history, photos, signatures, notes, and billing records, is the property of the Client whose account it belongs to. We act as a data processor on behalf of each Client. Clients are the data controllers and are responsible for obtaining any consents required from their own employees and customers.

If you are an End User and have questions about how your Client uses your data, please contact them directly. If you are a Client, your specific terms are governed by your service agreement, which is accessible in the account section of your stopSuite admin interface or by emailing support@stopsuite.com.

3. Information We Collect

3.1 From the Website

The Site does not use cookies, tracking pixels, analytics services, advertising networks, or social media trackers. The only information we receive from the Site is what you voluntarily submit through forms (e.g., name, email, phone number via "Get Started," demo request, or contact forms). This information is used solely to respond to your inquiry.

3.2 From the Driver App and Platform

When an End User signs in to the Driver App or Platform on behalf of a Client, we may collect and process:

  • Account information: name, email address, phone number, role (driver, dispatcher, admin), and the Client account the user belongs to.
  • Precise location data (Driver App): GPS coordinates collected from the device, including while the app is in the background, for as long as the driver is on an active shift or route. See Section 4 for full detail.
  • Operational data: route assignments, stop completions, timestamps, service notes, photos, signatures, scanned barcodes, and similar work-product entered by the End User in the course of performing their job for the Client.
  • Device and diagnostic data: device model, operating system version, app version, crash logs, and basic diagnostic information used to debug issues and improve stability. This does not include advertising identifiers.

4. Location Data in the Driver App

The Driver App collects precise location data (latitude and longitude) from the device's GPS. Because drivers operate a vehicle while using the app and the app must continue to function with the screen off or backgrounded, the Driver App requests background location permission. The Android equivalent permission is ACCESS_BACKGROUND_LOCATION; on iOS it is the "Always" location authorization.

4.1 Why we collect it

Location data is collected exclusively to provide the core functionality of the Driver App for the Client. Specifically:

  • Turn-by-turn navigation from the driver's current position to the next assigned stop.
  • Stop verification: confirming that a stop was completed at the correct service address by recording the location at which the driver marked it complete.
  • Real-time driver visibility for the Client's dispatchers and office staff, so they can answer customer questions, manage exceptions, and adjust routes.
  • ETA calculation for upcoming stops and for end-customer notifications sent by the Client.
  • Route progress tracking: recording the path traveled during a shift so the Client has an accurate record of work performed.
  • Route optimization: recalculating stop order or routing around traffic when requested by the driver or dispatcher.

Location data is not used for advertising, marketing, profiling, or any purpose unrelated to operating the Client's service routes.

4.2 When location is collected

Location is collected only while the End User is signed in to the Driver App and on an active shift or route. When the driver clocks out, signs out, or ends their route, location collection stops. The Driver App displays a persistent system notification on Android while background location is in use, as required by the operating system, so the driver always knows when location is being recorded.

4.3 How drivers can control it

An End User can revoke or downgrade the Driver App's location permission at any time through the device's operating system settings. Doing so will prevent the Driver App from functioning correctly (navigation, stop verification, and dispatcher visibility will not work), and the Client will be notified through normal operational channels.

5. How We Share Information

We do not sell End User data. We do not share End User data with third parties for advertising, marketing, or any commercial purpose unrelated to operating the Platform.

We share data only in the following limited circumstances:

  • With the Client that owns the account. Operational data, including driver location, is shared with the Client's authorized administrators and dispatchers so they can manage their operations.
  • With service providers strictly necessary to operate the app. These are data processors acting on our behalf, under contract, and only process the minimum data needed to perform their function:
    • Google Maps Platform (geocoding, directions, map tiles, and place lookups): addresses and coordinates are sent to Google to convert them into routes and map data. Google's use of this data is governed by the Google Privacy Policy.
    • Routing and optimization providers used to compute optimal stop sequences when a driver or dispatcher requests an optimization. Stop addresses and coordinates are sent for the sole purpose of returning an optimized order.
    • Cloud hosting and infrastructure providers (servers, databases, backups) that store the data securely on our behalf.
    • SMS and email delivery providers (e.g., SendGrid for transactional email) used to deliver notifications the Client has configured.
  • When required by law. We may disclose information if compelled by valid legal process (subpoena, court order) or to protect against fraud or imminent harm. Where legally permitted, we will notify the affected Client first.
  • In connection with a business transfer. If RocWebDev, LLC is acquired or merges with another company, data may transfer to the successor entity, which will be bound by this policy or one materially equivalent.

6. Data Retention

Operational data, including location history, is retained for as long as the Client maintains an active account, or per any retention schedule the Client configures in their stopSuite admin settings. When a Client terminates their account, their data is deleted or returned per the terms of their service agreement.

Form submissions from the public Site are retained only as long as needed to respond to the inquiry.

7. Security

All data is transmitted between the Driver App, the Platform, and our servers over HTTPS/TLS. Servers are hosted in the United States. Access to production data is restricted to authorized personnel and is logged. We do not store payment card data on our servers; billing is handled by a PCI-compliant payment processor.

8. Your Rights and Choices

End Users: If you are a driver, dispatcher, or other End User and want to access, correct, or delete personal data associated with you, please contact the Client (your employer) who controls your account. We will assist the Client in fulfilling valid requests.

Clients: Clients can export, modify, or request deletion of their account data through the stopSuite admin interface or by emailing support@stopsuite.com.

Website visitors: If you submitted information through a form on stopsuite.com and want it deleted, email hello@stopsuite.com and we'll take care of it.

9. Children

stopSuite is a business platform and is not directed to children. We do not knowingly collect personal information from anyone under 13 (or under 16 in jurisdictions where that is the applicable threshold).

10. Changes to This Policy

We may update this policy from time to time. Changes take effect when posted to this page with a revised "Last Updated" date. Material changes affecting how End User data is handled will also be communicated to Clients through the admin interface.
